Privacy Policy

Apprentice Hub is committed to protecting your personal data and being transparent about how we use it. This policy explains what data we collect, why we collect it, how we use it, and your rights under UK data protection law.

1. What Data We Collect

Account data: When you create an account, we collect your name and email address.

Payment data: When you make a purchase, payment is processed by Stripe. We receive confirmation of your transaction and your subscription status, but we do not receive or store your full card number, CVV, or bank details. These are held securely by Stripe in accordance with PCI-DSS standards.

Application tracking data: If you use the application tracker, we store the roles you add, the statuses you set, any notes you write, and the dates of status changes. This data is associated with your account and stored on our servers.

Usage data: We collect information about how you use the platform, including pages visited, features used, and actions taken such as saving a role or downloading a resource. This helps us understand how the platform is being used and improve it.

Communications: If you contact us by email, we will retain that correspondence to respond to your query and for our records.

2. How We Use Your Data

We use your data for the following purposes and on the following lawful bases under UK GDPR.

Automated decision-making

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects on you.

3. Who We Share Your Data With

We do not sell your personal data to any third party. We share data only with the following processors where necessary to operate the service.

Stripe - payment processing. Stripe processes your card details and transaction data. See Stripe's privacy policy at stripe.com/gb/privacy.

Google Analytics - usage analytics. Anonymised and pseudonymised usage data is shared with Google Analytics to help us understand platform usage. Data collected through Google Analytics is subject to Google's privacy policy at policies.google.com/privacy. You can opt out of Google Analytics tracking at tools.google.com/dlpage/gaoptout.

Hosting provider - our platform infrastructure provider stores the data needed to operate Apprentice Hub. Hosting details and server region information will be updated here as the production infrastructure is finalised. If data is stored outside the UK or EEA, we ensure appropriate safeguards are in place in accordance with UK GDPR.

All third-party processors are contractually required to handle your data in accordance with UK GDPR.

4. Data Retention

We retain your data for as long as your account is active. If you close your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes. Transaction records are retained for 7 years in accordance with HMRC requirements.

Anonymous or aggregated usage data that cannot be linked to you personally may be retained indefinitely.

5. Under-18 Users

Apprentice Hub is primarily used by students aged 16 and over. We do not knowingly collect personal data from children under 13. If you are under 13, please do not create an account. If we become aware that we have collected data from a child under 13 without appropriate consent, we will delete it promptly.

If you are between 13 and 17, we encourage you to review this policy with a parent or guardian.

6. Your Rights

Under UK GDPR, you have the following rights regarding your personal data.

  • Right of access means you can request a copy of the personal data we hold about you.
  • Right to rectification means you can ask us to correct inaccurate data we hold about you.
  • Right to erasure means you can ask us to delete your personal data in certain circumstances.
  • Right to restriction means you can ask us to restrict processing of your data in certain circumstances.
  • Right to data portability means you can request your data in a structured, machine-readable format.
  • Right to object means you can object to processing based on legitimate interests.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.

7. Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Payment data is handled entirely by Stripe and never touches our servers. Account passwords are stored using industry-standard hashing.

No method of transmission over the internet is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

8. Changes to This Policy

We may update this policy from time to time. Where changes are significant, we will notify registered users by email. The date at the top of this page will always reflect when the policy was last updated.
